This Privacy Policy explains how JustMediation (“we”, “us” or “our”) collects, uses, and protects personal data when you use the JustMediation AI Agent Platform (the “Service”). Because mediators may upload sensitive case materials, we treat that data with particular care and process it in accordance with applicable data-protection laws, including the EU General Data Protection Regulation (GDPR).

1. Who we are

JustMediation, part of the BuzzMinds AI ecosystem, is the controller of personal data processed through the Service. You can reach us at hello@justmediation.ai.

2. Information we collect

  • Account data — your name, email, and login details, handled through our authentication provider.
  • Content you upload — case files, documents, notes, and other materials you provide for analysis (“Your Content”), which may contain confidential or sensitive information.
  • Generated output — briefs, analyses, and drafts the Service produces from Your Content.
  • Usage & device data — such as IP address, browser and device information, and actions taken in the Service.
  • Communications — messages you send us and related transactional emails.

3. How we use your data

  • to provide, operate, and secure the Service;
  • to run the AI analyses and generate the output you request;
  • to manage your account, credits, and billing;
  • to provide support and respond to your requests;
  • to improve reliability and performance; and
  • to comply with legal obligations.

4. AI processing of Your Content

To generate output, Your Content is processed by our AI provider on our behalf. We use this processing solely to deliver the results you request. We do not sell Your Content, and we do not use it to train third-party public AI models. Your Content is handled as confidential and access is limited to what is needed to operate the Service.

5. Legal bases (GDPR)

Where GDPR applies, we process personal data to perform our contract with you (providing the Service), on the basis of our legitimate interests (securing and improving the Service), with your consent where required, and to comply with legal obligations. You may withdraw consent at any time.

6. Service providers (sub-processors)

We rely on a small set of trusted providers who process data on our behalf under appropriate safeguards:

  • Clerk — authentication and account management.
  • Supabase — database and storage for your account data, Your Content, and generated output.
  • OpenAI — AI processing to generate analyses and drafts from Your Content.
  • Resend — delivery of transactional email.
  • Vercel — application hosting and infrastructure.

We do not sell your personal data. We may also disclose data where required to comply with law, enforce our terms, or protect rights and safety.

7. International transfers

Some providers may process data outside your country, including outside the European Economic Area. Where this occurs, we rely on appropriate safeguards (such as standard contractual clauses) consistent with applicable law.

8. Data retention & deletion

We retain Your Content and account data for as long as your account is active or as needed to provide the Service, and thereafter only as required to comply with legal obligations or resolve disputes. You can delete cases and content within the Service, and you may request deletion of your account by contacting us.

9. Your rights

Subject to applicable law, you may have the right to:

  • access the personal data we hold about you;
  • request correction or deletion of your data;
  • object to or restrict certain processing;
  • request a copy of your data (portability); and
  • lodge a complaint with your local data-protection authority.

10. Security

We use reasonable technical and organizational measures to protect personal data, including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security.

11. Confidentiality reminder

You are responsible for ensuring that uploading particular materials is consistent with your professional and confidentiality obligations. Please avoid uploading information you are not permitted to process through a third-party service.

12. Children

The Service is intended for professional use and is not directed to children. We do not knowingly collect data from minors.

13. Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be posted on this page with a revised “Last updated” date.
